Terms & Conditions

These terms and conditions create a legally binding agreement between Advensa Travel (referred to as "the Company") and you (referred to as "the Client"). Please read these terms carefully before booking a trip with Advensa Travel.


Booking Process
You can make a booking through our website, or by contacting us directly. All trip prices are listed in USD. If you are booking in a local currency, we will use the exchange rate set by the applicable financial institutions on the day of booking.

To secure your booking, you must either complete the online booking process or submit a manual booking form, which will be provided upon request. A deposit of 20% of the total trip cost is required to confirm your booking. Please note that this 20% deposit is non-refundable.

The remaining balance should be paid before your arrival in Nepal or during the pre-trip meeting upon arrival.


Payment Methods
Advensa Travel offers the following payment options:

Credit Cards: Payments are accepted via VISA, Mastercard, and American Express, subject to a 4% processing fee.
Bank Transfer: You can make payments via wire transfer, and we will provide the bank details upon request. Clients are responsible for any transaction fees from their bank.
Stripe : We use stripe and paypal for secure online payments. The platform supports various currencies and payment methods, including Google Pay, Apple Pay,Master Card ,debit/credit card and bank transfers .
Cash: Cash payments are accepted in USD, EUR, AUD  and other major currencies. All cash bills must be clean and new (preferably $50 or $100 denominations).

Last-Minute Booking
For Nepal trips, we accept last-minute bookings up to 7 days before the departure, subject to availability. For these bookings, the full trip amount must be paid at the time of booking, and payments are non-refundable.


Cancellation and Refund Policy

Cancellations Made More Than 20 Days Before Departure:
If you cancel your trip more than 20 days before the departure date, we will deduct a 20% cancellation fee from the total trip price . The remaining 80% amount will be refunded to you within 7 to 10 business days. Please note, the 20% deposit is non-refundable.
Cancellations Made Less Than 20 Days Before Departure:
If you cancel your trip within 20 days of departure, there will be no refund (100% charge), and no reimbursement will be given for any unused services. If you need to file a claim with your travel insurance, we can assist you by providing supporting documentation.

Rescheduling Your Trip
If you wish to reschedule your Nepal trip, please inform us at least 20 days before your scheduled departure. A USD 300 fee per person applies for rescheduling your trip.

If you wish to transfer your trip to another person, it is your responsibility to find someone to take your place. A USD 300 fee will apply for this transfer.


Incompleteness or Early Departure
If you are unable to complete the trip or choose to leave early for any reason, Advensa Travel will not be liable for any refunds or compensation for unused services (meals, accommodation, or other activities). Additionally, if you are removed from the trip due to unlawful or disruptive behavior, no refunds will be provided, and you will bear the cost of your early departure.


Health and Fitness
Before embarking on any adventure in Nepal, it is essential to ensure that you are physically and mentally fit for the journey. We recommend that you consult with your doctor to assess your health, especially if you have existing medical conditions or disabilities. It is also important to note that walking durations mentioned in our itineraries are averages, and times may vary based on individual fitness levels.


Passport and Visa for Nepal
To visit Nepal, you must have a valid passport with at least 6 months of validity remaining after your return date. You can obtain a Nepalese tourist visa at the Nepalese Consulate or Embassy in your home country, or you can obtain a visa upon arrival at Kathmandu Airport    

The cost of the Nepalese visa is the responsibility of the client. For ease, you can complete the Nepalese Tourist Visa Form online before your arrival, and bring the printed receipt with you to present to immigration upon arrival .


Unforeseen Circumstances
Advensa Travel is not liable for any changes to itineraries caused by events beyond our control, such as adverse weather, political instability, natural disasters (earthquakes, floods, landslides, etc.), road closures, or health emergencies. Any additional expenses resulting from such unforeseen events (including transportation, accommodation, and meals) will be the responsibility of the client. We strongly recommend purchasing travel insurance that covers such situations.


Risk Acknowledgment
Participation in trips with Advensa Travel involves inherent risks, including but not limited to personal injury, illness, high-altitude conditions, travel disruptions, and natural disasters. By booking your trip, you acknowledge and accept these risks and agree that Advensa Travel, its staff, guides, and agents shall not be held responsible for any injury, death, or property damage occurring during the course of the trip.


Travel Insurance
It is mandatory for all clients to have comprehensive travel insurance that covers medical expenses, trip cancellations, natural disasters, and high-altitude rescues. Clients are responsible for ensuring that their insurance policy covers all necessary scenarios.

Advensa Travel is not responsible for any expenses not covered by the client’s insurance policy.


Participant Behavior
Advensa Travel reserves the right to terminate your participation in the trip if your behavior is deemed unacceptable. This includes but is not limited to disruptive conduct, damaging property, or illegal activities during the trip. If your participation is terminated, you will be required to leave immediately, and no refunds will be provided for unused services.


Publicity and Media
By participating in a trip with Advensa Travel, you grant the Company the right to use any photographs, videos, or other media taken during the trip for promotional, advertising, or commercial purposes without further consent or compensation.


Privacy Policy
Advensa Travel is committed to safeguarding your privacy and will not share or disclose your personal information to any third party without your consent, except as required by law or to process your booking.


Acceptance of Terms
By confirming your booking with Advensa Travel, you acknowledge and accept these terms and conditions. If you have booked through a third party or travel agent, you are also subject to their terms and conditions, in addition to these.


Applicable Law and Dispute Resolution
These terms and conditions are governed by the laws of Nepal. Any disputes or claims arising from these terms will be settled exclusively in the Kathmandu District Court or the Supreme Court of Nepal. Legal proceedings will not be accepted in any foreign country, and the jurisdiction of Nepalese courts will be the only applicable venue.
